The Election Management System is developed for IT Union Bikaner. It is a secure, transparent, and fully customized digital voting platform developed to conduct fair and efficient union elections for registered members. The system is designed to support both online voting and offline Electronic Voting Machine (EVM) booth voting, ensuring maximum participation while maintaining election integrity.
The platform is exclusively accessible to verified IT Union members who have completed their membership registration and fee payment, preventing unauthorized participation and ensuring that only eligible voters can cast their vote.
Project Objective
The primary goal of this project was to digitize the complete election process while preserving transparency, security, and voter privacy. The system minimizes manual work for the election committee, provides real-time election statistics, and enables members to vote conveniently from anywhere or through authorized polling booths.
Key Features
Member Eligibility Verification
Only active members with a valid paid membership are eligible to participate in the election. The system automatically verifies voter eligibility before allowing access to any election-related activities.
Digital Nomination Management
The election committee can manage the entire nomination process through an administrative panel, including:
- Candidate nomination submissions
- Candidate approval/rejection
- Election position management
- Candidate profile management
- Nomination status monitoring
Configurable Election Schedule
Administrators can configure the complete election timeline, including:
- Nomination period
- Election start date & time
- Election end date & time
- Automatic activation and deactivation of voting
The voting interface automatically appears on members' dashboards only during the scheduled election period.
Secure Voting Link Generation
To enhance voting security and prevent unauthorized access, the platform uses a unique one-time voting link mechanism.
When an eligible member clicks the Generate Voting Link button:
- The system verifies that the member has not already voted.
- A unique, secure voting URL is generated.
- The voting link is sent to the member's registered email address.
- The link allows a single successful vote only.
- After voting, the link becomes invalid and cannot be reused.
This approach provides an additional layer of authentication while making the voting process simple for members.
Online Voting
Members can securely cast their votes from any location using the unique email-based voting link.
The online voting interface is designed to be:
- Simple and user-friendly
- Mobile responsive
- Secure against duplicate voting
- Accessible through modern web browsers
Offline EVM Booth Voting
To accommodate members who prefer physical voting, the system also supports offline booth voting.
At designated polling booths established by the Election Commission:
- Election officials verify the voter's identity.
- The voter casts the vote through a dedicated electronic voting interface.
- The vote is instantly recorded in the central election system.
- Duplicate voting is automatically prevented.
This hybrid approach ensures equal participation opportunities for all eligible members.
Real-Time Public Election Statistics
A public dashboard displays live election participation statistics without revealing voting preferences.
The dashboard includes:
- Total eligible voters
- Total online votes cast
- Total offline votes cast
- Overall voter turnout
- Live participation updates
This improves transparency while maintaining complete voter confidentiality.
Automatic Result Publication
Once the election end time is reached:
- Voting is automatically disabled.
- Vote counting is finalized instantly.
- Final results become available on the public portal.
- Winners are displayed based on total vote count.
No manual counting is required, eliminating delays and reducing human error.
Privacy & Voting Confidentiality
One of the most important design principles of this project is complete voter anonymity.
The system does not store which candidate an individual member voted for.
Instead:
- The system only verifies whether a member has already voted.
- Vote totals are securely incremented for the selected candidate.
- Individual vote selections are never linked to voter identities.
- No vote history exists that can reveal a member's chosen candidate.
This architecture helps preserve voter privacy while ensuring election accuracy.
